Attached here are three spreadsheets - Eagle, Bryansk and Husky.
They show Profit and Loss, Balance Sheet, Assets register and Kitty

I have done then in a column as it is easy to add lines and have all related calculations update on the fly with links maintained.

Stephen - if we consider Eagle and Bryansk 'locked off' now and you make ongoing adjustments to Husky than it will provide a fixed point in time.
I imagine the first adjustments to make to Husky will be cash movements from the Paypal account to bank account, and paying off debts.

All you need to remember is that this is double entry bookkeeping - any entry you make on one side of the equation is met by a balancing amount on the other.
i.e. a player pays a cheque for game fee - this will automatically change the Husky profit to £45 and is matched by an increase in Bank balance of £45
conversely, moving money from the Paypal account to the Bank account doesn't change the numerical equation at all, as they both lie on the same side.

The capital assets list and the Wotan, Eagle and Bryansk profit figures must never be altered and will appear in all subsequent spreadsheets, there will be additions though.

Dave, just noticed a tiny error on the Husky spreadsheet.

Cell B33, game fees, the formula was adding together the gross fee and the paypal fee instead of just giving just the gross amount.

Yes, sorry, that cell should be just B29.

You will have to liase with Guy about AFRA too as he has monies in and out that need to be reconciled with proper bank account from now on...

Some paperwork is in the post for you.

I have transferred £302.40 to the CIA account - it will leave me on the 27th and probably be in the account on 29/30th.

Dave, quick question.

From an accounting POV, is there a point at which the sheets for each game become 'locked off' after each game? It's a pain in the ass to adjust the balance sheets at the bottom of each game's spreadsheet. Is this necessary or can I move the balance sheet to a separate sheet within a workbook that is updated from each of the game spreadsheets? IE: Have a P/L sheet for each game with a balance sheet that sits separately as is constantly updated throughout the year.

I don't think we have actually stated when our year 'ends' have we? It doesn't matter when we choose (but 31st Dec is as good as any).

Beyond that it's just whatever is convenient for the business - daily, weekly, monthly or quarterly. In our case it's more clearly defined by game period. Hence the Bryansk sheet I provided is locked off - changes in all balances are reflected in the Husky sheet. This way if things don't add up you just go back to the Bryansk figures and start again.

I have put the balance sheet with everything else to stop problems arising - yes of course it's a PITA but accounting is a PITA - esp when you get to the end of a financial year, it doesn't add up and you have a whole years account to work though to find the mistake. Maintaining as you go is much the easiest solution. The balance sheet tells you all is well, where money is and to whom money is owed.
You shouldn't have to make many entries in the balance sheet anyway, most doesn't change - you can automate the Paypal and Bank a/c figures.

You could separate P&L and Balance onto separate workbooks if you wanted to - it's two things to make sure are working and are correctly updated, on one sheet it's clear at a glance. Your call.

A balance sheet is just a snapshot in time , the P&L generally is for the year , month , period whatever.

Suggest run both after each game , and keep the four togther to consolidate in a fifth "year end" total .
Alos suggest we run FY as we set up the account long after April 1. Doing year end accounts at Xmas is a no brainer.

P&L reflects trading, Balance sheet - real assets. One reflects the other - spend money on pyro and the profit drops in P&L whilst simultaneously affecting Balance sheet (bank account, stock, creditors).

So it follows that we freeze the P&L figures after each game completed - a trading period. You will see that this 'profit' is c/f in the balance sheet, the balance sheet runs for ever and a day.

As I said, the only period that matters to an accountant is the yearly figure - divisional periods are for internal reporting and ongoing status - so periodic P&L figures need to be aggregated for year figures.

OK.

What I'll do is run the P&L sheets and close them after each game along with a balance sheet as Dave created which will be the 'snapshot in time' and will then be carried on to the next sheet when the old one closes as a copy and paste.

Dave, quick question, how does one best show within the accounts that money within the current assets line has been transferred from, say, your account to the CiA bank account. Is that just as a note in the balance sheet or does it not really matter?

Finally for the record, taking into account all current and known future liabilities, we currently have a kitty balance of £317.39.

Account transfers - Doesn't really matter at this stage but it will do at year end when a written note will be sufficient. (Along the lines of 'setting up formalised accounts involved transfer of funds historically kept in individual accounts' followed by details. Next year's accounts will be less messy!

which end are we sucking eggs from? :kiss: , yes technical period accounting is for management accountants...year end for financial accountants etc yadi ya :rofl: :rofl: :rofl:

kidding aside , having a snapshot after every game is would up , with a year end summary as David suggests is the way to go without getting too involved.

Current kitty minus liabilities (corned beef, Ex-site hire and pyro!) stands at: £751.40

Obviously the mortars and some other minor expenses are due to be added to our liabilities, but that's pretty good for now.

Hi all

Husky accounts now squared and closed and attached for info.

Wotan II accounts now open and attached for info.

As you can see, Husky was good to us. We're now running a nice comfortable surplus.

Hello all

Just a quick update following a flurry of bookings.

Our current kitty stands at: £890.56

I've already purchased the firing system so this is money we have to hand as of today. This also includes the money that Guy holds from Gunman (£200).

Jay, just so you know, the cost of the mortar you are looking to build will be reimbursed from Guy to start with, with any costs over that £200 coming from me. I'll take all the receipts for the books though.

OK, Glocke is now sold out.

This gives us a running balance of £702.53.

Guy, it would be good if you could cover off any props that are bought for this game with the £80 that remains in your 'kitty' first so that I can then write that out of the accounts.
